HHOA Meeting Minutes for February 21, 2023, Board Meeting, 6:00 PM, Lex-Co Library

Attendees:  Frank Brown, President; Ellis Reeves, Treasurer, Ed Yates, Secretary; Wendell Paulk, Drew Dunn, Joe Clogher, Josh Evertt, Travis Turnipseed, and Tariya Turnipseed.

    The monthly meeting was called to order by  President Franklin Brown at 6:00 PM.         President Frank Brown welcomed Josh, Travis and Tariya to the meeting and talked about the importance of a homeowners association and the roll and responcibilities of a homeowners association. 

 Minutes for the January 17, 2022, were read. Joe Clogher made a motion to approve the minutes, Wendell Paulk made the second, and the minutes were approved by the Board. The Financial Reports and budgets for 2023, were presented by Treasurer Ellis Reeves.

Treasurer Reeves explained how the YTD budget numbers were calculated and compared to YTD actuals to measure YTD performance

 Joe Clogher made a motion to approve the Financial reports, Drew Dunn made the second and the Financial reports were approved by the Board.

Old Business:

   1.  Date for YARD SALE and SPRING PICNIC must be decided at March 2023 meeting.

   2.  Date for Meet And Greet must be decided at March meeting.

   3. Wendell Paulk will chair a committee to rewrite the By Laws and forward to the  Board for further action and approvals. Members: Yates, Brown, Dunn, Paulk.

    4. Water Bill expense was reviewed. Procedures have been put in place to economise the use of water while keeping the grass and shrubs healthy.

    5.  Discussion concerning the purchase of a printer will continue next month.

    6. Discussion concerning the purchase of two cameras for the front entrances will continue next month.

    7.  President Franklin Brown nominated Drew Dunn to be a member of the board.

         Board Member Joe Clogher seconded the motion and the motion was passed by the Board unanimously. 

 New Business:

     1. Date for Meet and Greet (Coffee and Donuts) will be April 29,2023. Motion by Joe Clogher, Second by Ellis Reeves, Passed by Board.

     2. Date for Annual Meeting will be May 6, 2023. Motion by Drew Dunn, Second by Joe Clogher, Passed by board.

     3. Date for Yard Sale will be April 15, 2023. Motion by Drew Dunn, Second by Joe Clogher, Passed by Board

     4. Date for  Spring Picnic will be May 20, 2023. Motion by Drew Dunn, Second by Ellis Reeves, Passed by Board. Arrangements to be made for Seven Oaks Park shelter by Shaffer and Brown.

 Committee Reports:

Communication:   Web site is being modified. Dates and pictures have been updated.     Steve Shaffer to investigate and recommend further changes. Steve is working to solicit help with the programing of the site.

Public Works: Tower Court sidewalk is being repaired by Lex Co Highway Department.

Membership:   2023 membership drive is underway. Reports will be made monthly.

Beautification:    Volunteer needed for Chair of this committee.  

Safety/Crime Watch:    Volunteer needed for Chair of this committee.

Social and Benevolence:    Volunteer needed for Chair of this committee.

Motion to adjourn was made by Wendell Paulk and  seconded by Ellis Reeves, and  approved unanimously.
